What Business Central actually costs — licenses and beyond.

License pricing is only part of the budget. Here's a plain-English breakdown of Microsoft's current licensing tiers, what each one includes, and the other cost categories that make up a real-world implementation.

Licensing tiers, per user per month

Business Central online is licensed per user, per month, billed annually. Microsoft increased list prices on November 1, 2025; the figures below reflect that current pricing. Always confirm the latest rates with Microsoft or with us before budgeting, as list prices are set by Microsoft and can change by region and over time.

You choose Essentials or Premium for your full users on a given environment — the two can't be mixed for full users within the same company, though Team Member and Device licenses can be combined with either tier.

The part budgeting often misses

What the license fee doesn't cover

For most mid-sized businesses, the license fee ends up being a smaller share of first-year cost than the implementation and customization work combined. A realistic budget accounts for four categories.

Business Central online includes a base storage allowance per tenant plus a per-user allowance; high-volume environments may need additional storage.

These figures assume a standard, largely out-of-the-box implementation

The ranges above cover Business Central configured with standard modules, required setup, and only minor, low-complexity customization — the kind of configuration most businesses need to get running (chart of accounts, approval workflows, standard reports, and similar). They do not include heavy custom development, complex integrations, industry-specific extensions, or large-scale data migration from a highly customized legacy system. Projects with significant customization requirements are scoped and quoted separately, after we understand exactly what's involved.
